District Secretary for Administration and Compliance

This is a senior leadership position in a merged organisation.

1. Collaboration with the District Chair and the District Secretary for Ministries & Vocations in the leadership of the District, and promoting the values of the District in all work practice.
2. Collaboration with the Mission Area Leads to facilitate support of the circuits in relation to the responsibilities of administration and compliance issues.
3. Responsibility for compliance with all relevant legal, financial, and governance matters, including compliance with the relevant parts of The Constitutional Practice and Disicipline of the Methodist Church, including:
   1. budget and accounting, in partnership with the District Treasurer;
   2. data protection;
   3. lay employment processes;
   4. safeguarding.
4. Working with the District Safeguarding Officers, the District Safeguarding Group and others to ensure safeguarding processes for the District are robust and effective.
5. Responsibility, together with relevant District officers and bodies, for strategy for property and finance across the District, and for its implementation.
6. Enabling the District Property Consents group to fulfil their responsibilities regarding property matters within the District.
7. Coordinating the District Grants Policy and its implementation through the District Grants Committee.
8. Ensuring that the District’s responsibilities for Reconciliation and Complaints are fulfilled, including liaising with the other District Leaders and ensuring the appointment and functioning of the District Local Complaints Officer and District Reconciliation and Complaints Support Group(s).
9. Collaboration with the District Chair and others to ensure good practice in internal and external communication, including through the District Communications Officer.
10. Engagement with the District Policy Committee and the District Scrutiny Group processes and meetings.
11. Fostering good and collaborative working relationships with holders of relevant district volunteer posts.
12. Other areas of responsibility as agreed and assigned by the Trustees. 

Property Management & Resources Officer

The Vacancy

We are offering an interesting and varied opportunity to support the work of the Connexional Team and the wider Methodist Church in delivering its strategic plan to make the best use of its property portfolio in local communities across the country and centrally.

Working alongside the Director and colleagues within the Property Support team, you will be providing support and management to Connexional property, particularly focussing on the Connexional manse portfolio and its resident ministers.  Alongside this, you will lead on the communications and resourcing to the District Property Officer network and other relevant networks, across the Connexion.

You will also be a central Property Support team member assisting team colleagues within their specific areas of expertise including Listed Buildings and the Church’s net zero strategy.  This could be through the provision of proactive support of and input into, relevant forms of guidance, advice, communications, training and good practice.

You will also support the Director in the administration of property grants and application received for replacement Projects under Standing Order 973.

About You

We are looking for someone who wants to make a positive contribution to the work of the Property Support team and be equally comfortable collaborating in a team environment or under your own initiative.  You will preferably have experience supporting a senior team within a property function and preferably have some experience in a property or project management type function.

As the role will underpin and contribute to supporting the team’s work with external colleagues, particularly the District Property Officer network, it is essential that you are comfortable in engaging with a range of stakeholders, and have excellent organisational skills, particularly in terms of resourcing and training.

The role will be very collaborative with team colleagues, and therefore experience and ability to plan, research and assimilate new information alongside the analysis and delivery of projects will be an essential quality.

About this job

Please note this is a part-time role 3 days/or 21 hours per week (Fridays must be worked but the other 2 days per week are flexible). The role is initially for an 18 months fixed term contract.

As a key member of our Services and Support team, you’ll be working with MS Society volunteer groups that provide transport services to their members and/or own property. You’ll also be supporting members of the Customer Services team to help them fulfill their health and safety responsibilities within each of the MS Society’s offices. This role includes travel across the UK to provide support and/ or training as required.

You’ll be working with our external auditors to manage the audit process, monitor and record compliance with the ‘MS Society Health and Safety risk management framework’ on property and transport and ensure materials in the framework are consistently and effectively used.

We’re looking for the successful candidate to have:

• A NEBOSH National General Certificate
• Trained Display Screen Assessment Assessor
• Be a Member of Institute of Occupational Safety and Health
• Experience of working with in house Health and Safety systems that cover risk areas associated with a volunteer group network.
• Experience of working with volunteers.
• An in-depth up-to-date knowledge of Health and Safety legislation and practices, particularly as these relate to the voluntary sector.
• Experience of transport for people of all abilities run by the voluntary sector with a working knowledge of the related legislation.
• A working knowledge of the management of properties run by the voluntary sector.
• A working knowledge of DSE requirements and how to assess and apply them in a practical way.
• Knowledge of risk assessment, inspection and auditing procedures.

We are looking for an experienced Administration Officer to work in a busy rural office. The successful post holder will be based at our offices in East Lulworth, Dorset, with some opportunity for home working. They will provide day to day support of administration and management of the office and facilities. The post holder will also support Health and Safety, contract management and events reporting to the Head of Administration.

You will need to have previous experience working in administration within a busy team. You will be skilled in using all Office applications as well as being able to prioritise your work load when supporting and responding to queries from staff, members and volunteers via email, telephone and MS Teams.

The Estates Repairs & Maintenance Manager will report directly to the Associate Director of Estates working alongside the Estate's Surveyor, Facilities Officer, Estates Administrator and external property consultancy partner who will provide technical support in terms of the production of tender and specifications, contract administration, property surveys, cost advice and feasibility studies.

How you will make a difference

The main purpose of the Estates Repairs & Maintenance Manager role is to manage and oversee effective property repairs, maintenance and improvement works across the property portfolio and ensure that it remains legally compliant. This includes properties where the responsibility for repairs and maintenance is that of the Charity and equally of other parties such as landlords and housing associations. The role will include managing existing external contractor relationships and housing association repairs and maintenance performance, as well as introducing new supplier contracts where required according to the wider needs of the charity. The role will also include managing major/complex projects on behalf of the charity and supporting other areas of the department ensuring properties remain compliant.

*Appointments will be at the minimum of the band.

This is a new role for the Circuit, replacing a volunteer. In designing the position, the Circuit has aimed for maximum flexibility to secure the best candidate for the role. Initially, the person will need physically to attend some meetings to familiarise themselves with the Circuit's operations and ensure a smooth hand-over. For the right person, though, there will be considerable flexibility about how the duties are fulfilled in the longer-term. It is specifically expected that the role will allow for flexible scheduling to accommodate other responsibilities, including caring.

The Richmond & Hounslow Circuit comprises seven churches in southwest London. As with all Methodist circuits, these churches function autonomously yet collaborate closely in their ministry and mission efforts. The Circuit oversees joint resources, including staff and property. Presently, it employs four full-time ordained ministers, one full-time lay pastor, and a part-time administrator. As a part of the Methodist Church, its mission is “to respond to the gospel of God’s love in Christ and to live out its discipleship in worship and mission”. Order Approvals
Approve and review high value orders, variations, and completed works prior to invoice.

Quality Assurance
Lead on all areas of quality assurance including sharing site visit responsibility with Property Inspector. Manage requests for pre inspections and post inspections with Property Inspector. Lead on Damp and Mould quality inspections and follow up reports. Communicate inspection KPIs to key stakeholders.

Works Delivery
Ensure that all works are completed within agreed time frame work and that this is accurately monitored through weekly WIP reports.

Contractor Management
Ensure strict adherence to Contractor code of conduct and agreed SLAs. Lead contract progress meetings to manage performance.

Complaint and Query Lead
Manage all complaints responses related to repairs from inception and act as escalation point for repairs and void teams.

Ensuring the safety of their customers in their homes is a key priority for our client. As their Asset & Compliance Administration Manager your focus will be leading the team in a concise and structured fashion to ensure that processes and interactions aid the delivery of Customer Safety and planned maintenance. Your role will undertake a proactive approach to zero tolerance on Customer Safety and you'll ensure all aspects of customer safety / compliance are maintained, while supporting the delivery and completion of planned maintenance programmes. What skills/behaviours do you need to be an Asset & Compliance Administration Manager?

- Excellent understanding of Customer Safety regimes in electrical, gas, water hygiene, asbestos and mechanical/electrical and a clear understanding of cyclical regimes and remedial actions
- Presenting accurate information, clearly and concisely in reports or dashboards
- Ability to analyse performance information and pinpoint threats to Customer Service and financial performance
- Experience of leading a team towards achieving 100% Customer Safety, contract management, performance and budget management objectives
- Knowledge of finance and housing management systems

Location

The successful candidate will be required to live within a commutable distance to Bradford City Centre. They’re a keen promoter of agile working and encourage the use of working from home, as long as they meet their customer’s needs.

They’ll provide you with the equipment and software that you’ll need for the purpose of your role however it will be your responsibility to have an appropriate space to work from as well as a suitable broadband connection/provider.

Salary

The spot salary for this post is £44,559 per annum for applicants who fully meet the requirements of the post. Applicants, who do not meet all the requirements of the post, will start 5% or 10% below the spot salary.

Our growing In-House Maintenance Team is seeking an experienced, customer-focused supervisor to join us as a Repairs & Maintenance Supervisor in order to support the effective management of a multi-disciplined team of trade operatives, contractors and self-employed operatives.

Repairs & Maintenance Supervisor
Location: Birmingham & Surrounding Areas, B69 4PN
Salary: £41,530 per annum + Van & Fuel Card
Hours: 39 hours per week

Your day-to-day responsibilities will include:

• Supervise a team of Trade Operatives as they carry out responsive repairs and voids maintenance.
• Lead and motivate the team to and ensure a high standard of repairs are maintained in our homes.
• Complete post inspections of works to ensure everything is completed according to specification and is contractually compliant.
• Ensure work is completed in a timely and cost-effective manner.

Our ideal candidate? Your application will demonstrate the following:

• A relevant qualification in a building related discipline or site management or equivalent knowledge as demonstrated through a track record of relevant work experience.
• Supervisory and team management experience
• Construction knowledge or experience, including Health & Safety legislation, fire safety, CDM Regulations
• Financial and budgetary control and void property management experience

The Executive Management Administration team of 5, headed by the MD, run the organisation on a day-to-day basis. The team is supported by the REB board and committees, together with 3rd party providers for accounting, payroll, banking, media & public relations, website hosting and IT services.

Role and Responsibilities

New Position: Due to the increase in REB memberships and activities, a new full-time events role is being created to support the executive team.

Key Tasks – support the MD in creating and delivering a member engagement and events programme

1. Conception and collaboration of member events, through to completion

2. Promoting events to members, working alongside REB’s external PR/Communications agency

3. Managing event registrations and guest lists

4. Responsible for line managing the events administrator

5. Responsible for REB events planning, logistics, analysis (report & presentation) and follow-up actions

6. Attending meetings with members re event planning and development

7. Reporting quarterly to the board and attending board meetings with the Executive team

Detailed Responsibilities

1. Develop, manage and deliver REB’s event programme (working with MD and ED&I coordinator):

o upload event listings to website;

o prepare invitations;

o liaise with host venues;

o oversee registrations & comms;

o obtain event feedback

2. Monitor and evaluate events including reviewing feedback and attendance

3. Coordinate the CEO Breakfasts series

4. Maintain the Events page on the REB website

5. Maintain a database of venues

6. Identify, approach and secure appropriate speakers and participants for events

KNOWLEDGE & EXPERIENCE

1. Events management and logistics

2. Knowledge (preferably working knowledge) of Microsoft Dynamics and Marketing

3. Knowledge (preferably working knowledge) of current best practices and trends in ED&I, including familiarity with key concepts (e.g. allyship, unconscious bias, intersectionality, etc.)
